How to easily insert / link Excel data into PowerPoint presentation – MS Office 2021

If you want to insert / link Excel data into PowerPoint presentation, you have multiple options available in PowerPoint application. You may either choose to embed your data in PowerPoint PPT or Link you data to PowerPoint PPT.

What is Embedding of Excel in Power point

Embedding Excel is option PowerPoint which is useful if you want to share PPT without any Excel file attached as data is stored in PowerPoint itself. Embedding Excel is an advantage and disadvantage both. Embedding data in Excel do’s away with need to attach any excel file while distributing PPT file. Also you can directly update your data in PowerPoint without any need to update actual Excel. But in case you have multiple table or charts to insert in PPT your file size will increase. Also your data will only be updated only PPT and Excel will not carry any change in its content.

Linking Excel is option PowerPoint where you insert data in PPT as link, actual data resides in Excel file and you can update data in PPT when you want to. Similar top Embedded files method this method of Linking files has its own set of Pros and Cons. Whenever you share PPT to someone you will have to share updated Excel file also.

We are going to insert Excel as Link in PPT, here we have used Office 2021. Note when using Excel data as Link your data will get also updated.

1. In PowerPoint menu go to Insert tab and click on Object.

2. Now Select Create from file browse to Excel File. Select on Link option and Click on OK.

3. Entire content of Excel file will appear on your PPT.

In above method whole Excel sheet is linked into PowerPoint, now here lets see how Link table to your PowerPoint PPT.

1. Open Excel Sheet from where you want to copy data to your PowerPoint PPT. Now Select the cell in which your data is Present. Right Click and Select Copy, alternatively Press Ctrl+C to Copy Data.

2. Now go to PowerPoint and either open a Blank PPT or PPT in which you want to link your data.

3. Now Go to Home tab, Click on arrow below Paste. Here click on Paste special. Now Click on Paste link and Select in As option Microsoft Excel Worksheet Object (Refer Paste Special Options Image below). Click on OK. Your data is now linked to PowerPoint Slide.

Insert Chart from Excel into PowerPoint presentation as Link

Linking chart is similar to Linking Table, first prepare your chart in Excel sheet and Save it.

1. Open Excel Sheet from where you want to copy chart to your PowerPoint PPT. Now Select the chart in your Excel sheet. Right Click and Select Copy, alternatively Press Ctrl+C to Copy Data.

2. Now go to PowerPoint and either open a Blank PPT or PPT in which you want to link your chart.

3. Now Go to Home tab, Click on arrow below Paste. Here click on Paste special. Now Click on Paste link and Select in As option Microsoft Excel Chart Object. Click on OK. Your data is now linked to PowerPoint Slide.

Insert Excel into PowerPoint presentation as Embedded Document

As already mentioned you can Embed Excel data in you PPT, this data can later be directly updated in PPT (You don’t need to attach Excel Sheet while sharing it nor you need to open Excel to edit data).

1. Open Excel Sheet from where you want to copy chart to your PowerPoint PPT. Now Select the chart in your Excel sheet. Right Click and Select Copy, alternatively Press Ctrl+C to Copy Data.

2. Now go to PowerPoint and either open a Blank PPT or PPT in which you want to link your chart.
